Overview of Role: 

Systems by Susie, LLC is looking for a hard-working, highly organized individual to support the day-to-day operations of our fast-paced professional organizing business. 

Works Directly With: Owner and CEO, Organization Team Manager

Hours: 20 hours per week, occasional evenings. Flexible hours. Remote position (EST time zone required), with a preference for candidates residing in Maryland. 

Status: Part-Time Contractor Position

Compensation: $23-$25/hour based on experience

Required Skills

  • Highly organized and detail oriented

  • Proven ability to thrive in a fast-paced environment, demonstrating flexibility and adaptability to evolving priorities
  • Exceptional communication abilities, both written and verbal, including being comfortable making frequent phone calls

  • Computer savvy, embraces new technology 
  • Familiarity with Dubsado CRM and Asana Task Manager is helpful but not required
  • Experience with Quickbooks and Google Suite 
  • Highly efficient in managing tasks and meeting deadlines 
  • Excellent interpersonal skills
  • Team player
  • Comfortable with sales; first contact for new inquiries
  • Friendly, calm, and positive demeanor 

Duties:

  • Client Support 
    • Serve as primary client contact
    • Oversee client experience from inquiry to invoice
    • Respond to all new inquiries via phone, email or text
    • Manage client workflow in Dubsado, our CRM
    • Manage Systems by Susie’s Membership Plan onboarding, scheduling, and maintenance
    • Purchase seasonal gifts for our members
    • Find creative ways to enhance our client experience
    • Regularly reach out to current and past clients for birthdays and check ins
    • Develop and maintain client resource library
    • Conduct follow up surveys with clients after job is completed
    • Update and maintain client agreement content
  • Business Operations
    • Schedule client organization sessions in Google Calendar
    • Communicate with team about schedule
    • Monitors the weather daily and makes necessary schedule adjustments in collaboration with the Organizational Team Manager
    • Takes initiative to fill schedule, especially with last minute cancellations
    • Update procedure documentation on company SOP’s
    • Track client conversion rates
    • Monitor company Slack, email, and Google Voice channels daily
  • Billing
    • Create deposits, estimates and invoices in Quickbooks
    • Follow up with clients on late invoices
    • Assistance with special projects
  • Human Resources
  • Post job openings and screen applicants
  • Oversee employee onboarding and offboarding
  • Schedule organizers and coordinate vacation requests
  • Schedule annual reviews for employees with CEO
  • Coordinate employee anniversary gifts
  • Ordes company branded shirts seasonally
  • Schedules and plans quarterly team gatherings
  • Administrative Assistant
  • Supports CEO by scheduling and coordinating networking meetings
  • Attends weekly meetings with CEO and Organization Team Manager
